Beta Privacy Notice
On the Books is in beta testing. This notice explains, in plain terms, what happens to the information you put into the app. Please read it before entering anything real.
Stored only in your browser
Almost everything you enter in the app stays on the device you are using. It is saved in your browser's local storage on that device only. This includes:
- Your setup details and business structure
- Company or sole trader profile details
- Insurance records and any documents you attach
- People records, the training matrix and My Credentials entries
- CIS answers, checklist statuses, Trade Wallet settings and invoice drafts
We do not receive, see or hold a copy of this information. It does not sync between devices, and it is lost if you clear your browsing data, use private browsing, or switch device or browser. Please do not store anything sensitive or irreplaceable in the app during the beta.
Feedback you send to us
Saved invoices are the exception to the above. If you create an account and choose “Save invoice”, that invoice — including the customer name and address, job lines, amounts and any notes and payment details you entered — is stored in our secure cloud database against your account, so it follows you to another device. Only you can see your invoices when signed in. You can delete any invoice from the Your invoices page at any time, and you can email us to have your account and all saved invoices removed.
The beta feedback form is the only part of the app that sends information to us. When you submit it, we receive and store in our secure cloud database:
- Your name and email address, if you choose to provide them
- Whether you tested as a business or a sole trader
- How many beta checklist steps you had completed
- Your written answers about what worked, what was confusing, what was broken and what was missing
Name and email are optional. Please avoid putting personal details about other people, or confidential business information, into the free-text boxes.
Insurance documents and AI reading
If you attach a document to an insurance record, the file is stored in your browser — but a copy is also transmitted to an AI extraction service so it can read the key details (insurer, policy number, cover level and dates) and suggest them back to you.
During the beta, please use demonstration or sample documents only. Do not upload real insurance certificates or any document containing personal or confidential information.
Who can see submitted feedback
Only the small On the Books team running the beta can read feedback submissions. Other testers cannot see them: the app can add feedback but cannot read any back. We do not sell or share feedback with anyone else, and we use it solely to improve the product.
How long we keep it
Feedback is kept for the duration of the beta and for up to twelve months afterwards, so we can act on what testers told us. After that it is deleted. Information held in your browser is kept until you clear it — you can remove it at any time by clearing your browsing data for this site, or by using the reset option in the beta test data panel.
Deleting your feedback
There is no self-service account or deletion button during this beta. To have your submitted feedback deleted, or to ask what we hold about you, email us at hello@otbapp.co.uk. Include the name or email address you submitted with, and roughly when you sent it, so we can find the right entry. We will confirm once it has been deleted, normally within 30 days.
